When you send us a support request, a privacy request, or a security report, we process your personal data as follows. This is an information notice; it does not ask for your approval.
01
Which channel, what data?
| Channel | Data processed | Where it is kept |
|---|---|---|
| In-app support (UDF360: Settings › Help › Support › "Write to us"; you must be signed in) | The topic you choose, the messages you write and our replies, your account ID, app version, time and status of the request. The form accepts text only; a file or screenshot cannot be attached. The app puts nothing from your document into the message — if you paste it, that text goes too; if it sees a long number sequence (ID/phone) in the message, it warns you once more before sending. | Google Firebase (Firestore), European Union servers |
| Email: destek@drnportal.com (general support), privacy@drnportal.com (personal data requests), security@drnportal.com (security reports) | Your email address, your name (if present in the sender details), your message and the files you attach | drnportal.com mailboxes (our hosting provider in Türkiye) |
| Portal /destek page | The page provides information; there is no form, it collects no data | — |

For what purpose, on what legal basis?
- Resolving your problem, answering your question: performance of the usage agreement between us (Article 5/2-c of Law No. 6698).
- Reviewing identity mismatches, evaluating misuse and security vulnerabilities: our legitimate interest (Article 5/2-f).
- Resolving and documenting your personal data requests (Article 11 of the Law): our legal obligation (Article 5/2-ç).
We do not use your support correspondence for marketing; we reply to you only about your request.
03
Who sees it?
Your support messages are seen only by our staff who have been granted administrator or moderator authority; every reply is recorded. To resolve your request, our administrator may look at the registered information in your account; every viewing of your full ID, address and phone information is entered in a record that cannot be deleted. Moderators see only your masked account summary. We do not sell your messages to, or share them with, third parties for marketing or any other purpose; only the service providers listed in the table above (Google — hosting; for the email channel, the drnportal.com hosting provider) keep them, as data processors, solely for this purpose.
04
For how long?
- In-app requests: they are deleted automatically together with their messages 90 days after the request is closed. If you want them deleted earlier, say so in the request.
- If you delete your account, all your support correspondence is deleted together with your account.
- Email correspondence: kept for 3 years after your request is closed (the period for proof and possible disputes); correspondence relating to applications under Article 11 of the Law is kept for the same period.
05
When writing to us, please
- Do not send document content, an e-signature card password, a mobile signature password, a UYAP password or an ID number; we never ask for these. If identity verification is needed, we direct you to sign in again from within the app.
- Please do not send special categories of personal data (health, biometrics, criminal convictions, etc.) or attached files unrelated to your request; if you send them by email anyway, this content is used only to resolve your request and is deleted when the request is closed.
- For card reader problems, you can send the logs yourself via Settings › Privacy › "Card operation logs" › Share; these logs do not contain a PIN, ID number, document or signature data.
